How to set up automatic client reminders instead of manual emails and forgotten follow-ups.
Reminding a client about payment, approval, or a deadline is routine that is easy to postpone.
"I will write tomorrow" turns into overdue work. Manually tracking dozens of clients in a spreadsheet is exhausting.
How It Works
Automation is built from three parts:
- Trigger — an event: N days passed, status changed, date reached;
- Condition — a rule: invoice unpaid, stage not closed, amount greater than zero;
- Action — send email, create task, change status.
Example: if an invoice is unpaid for 7 days → send a reminder to the client.
Examples in Practice
- Client has not paid an invoice for 5 days — automatic email reminder;
- Stage "awaiting approval" open for 3 days — notification to the manager;
- Project deadline in 2 days — task for the owner to check status.

Control Instead of Blind Trust
Automation should not run blindly:
- rules are visible and editable;
- history shows what was sent and when;
- you can disable a rule for a specific client.
You define the logic — the system executes, and you stay in control.
